Privacy Policy

This policy explains how Provider Business Solutions collects, uses, holds, and discloses personal information, and how you can access, correct, or delete the information we hold about you. Last updated 4 June 2026.

Provider Business Solutions (“PBS”, “we”, “us”, or “our”) provides marketing, business development, and strategic advisory services to providers in the National Disability Insurance Scheme (NDIS) sector. We are based in Australia and we handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

This policy applies to information we collect through this website, through our advertising and lead-generation activities, and in the course of providing our services. By using our website or providing us with your information, you agree to the handling of your information as described in this policy.

The information we collect

We only collect personal information that is reasonably necessary for our functions and activities. The information we collect includes:

Information you give us directly

  • Your name, email address, organisation, role, and any message content when you submit a form on our website or contact us by email.
  • Information you share with us during enquiries, meetings, and the delivery of our advisory services.

Information collected through advertising and lead generation

We run advertising campaigns on platforms including Meta (Facebook and Instagram) and LinkedIn, both for our own business and on behalf of our clients. When you respond to one of these advertisements, for example by submitting an instant form (such as a Meta Lead Ad) or a landing-page form, we receive the contact details and responses you choose to provide, such as your name, email address, phone number, organisation, and answers to the questions in the form.

Information collected automatically

  • Basic technical information when you visit our website or landing pages, such as your browser type, device information, and pages viewed.
  • Where advertising measurement tools are in use, aggregated and event-based data about interactions with our advertisements and pages (see “Advertising platforms and tracking technologies” below).

How we use your information

We use personal information to:

  • respond to your enquiries and provide the information you request;
  • deliver, manage, and improve our services;
  • contact you about our services, events, and insights where you have asked to hear from us or where we are otherwise permitted to do so;
  • run, measure, and improve our advertising and lead-generation campaigns;
  • meet our legal, regulatory, and record-keeping obligations.

We will not use your information for a purpose unrelated to the one for which it was collected unless you would reasonably expect it, you have consented, or we are otherwise permitted by law.

Advertising platforms and tracking technologies

We use Meta’s advertising tools (including the Meta Marketing API, Meta Lead Ads, the Meta Pixel, and the Conversions API) and comparable tools on other platforms such as LinkedIn to deliver and measure advertising. Through these tools we may:

  • receive the details you submit through an advertisement’s instant form or a connected landing page;
  • measure how our advertisements perform, including which advertisements led to an enquiry;
  • show advertisements to relevant audiences and avoid showing them to people who have already responded.

These platforms are operated by third parties who handle your information under their own privacy policies and terms. We encourage you to review Meta’s Privacy Policy and LinkedIn’s Privacy Policy to understand how they process data. We do not sell your personal information.

How we disclose your information

We do not sell your personal information. We may disclose it to:

  • our clients, where you responded to a campaign we run on their behalf, so they can follow up on your enquiry;
  • service providers who help us operate our business, such as website hosting, email delivery, customer-relationship and marketing platforms, advertising platforms, and analytics providers, who are only permitted to use your information to provide services to us;
  • government agencies, regulators, or other parties where required or authorised by law.

Overseas disclosure

Some of the service providers and platforms we use store or process data outside Australia, including in the United States and other countries. Where we disclose personal information overseas, we take reasonable steps to ensure it is handled consistently with the Australian Privacy Principles.

How we store and protect your information

We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification, or disclosure. These steps include access controls, encryption in transit, and the use of reputable service providers. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

How long we keep your information

We keep personal information only for as long as it is needed for the purposes described in this policy, or for as long as required by law. When information is no longer needed, we take reasonable steps to delete or de-identify it.

Your rights: access, correction, and deletion

You may ask us to access the personal information we hold about you, correct it if it is inaccurate, or delete it. To make a request, email us at hello@providerbusinesssolutions.auwith the subject “Privacy request”. We will respond within a reasonable period and may need to verify your identity before acting on your request. There are some circumstances where we may not be able to delete information, for example where we are required by law to retain it; we will tell you if that is the case.

If your details reached us through a Meta or LinkedIn advertisement and you would like them removed, contact us using the email above and we will delete the information we hold. You can also manage your ad preferences and data directly within your Meta or LinkedIn account settings.

Cookies

Our website and landing pages may use cookies and similar technologies to make the site work, remember your preferences, and measure advertising performance. You can control or disable cookies through your browser settings, though some parts of the site may not function as intended if you do.
